Billing Coordinator

The Billing Coordinator will be responsible for project set-up, maintenance, project billing and various accounting functions.


  • Prepare monthly project billing in Deltek Vision Accounting Software
  • Communicate with various Project Managers daily
  • Complete special format invoices and reports using MS Word/Excel
  • Approve and maintain engagement register
  • Enter and maintain mileage logs; print logs
  • Maintain, analyze and distribute spreadsheet for all write-offs, transfers and holds
  • Assist with Accounts Payable as necessary
  • Assist with other related accounting and administrative duties as assigned


  • Knowledge of Vision accounting software preferred
  • Knowledge of basic Accounting principles
  • Knowledge of government contract billing
  • Advanced knowledge in Microsoft Excel
  • Proficient in Microsoft Word and Outlook
  • Excellent written and oral communication skills
  • Excellent organizational skills and attention to detail
  • Strong analytical, quantitative and problem-solving abilities
  • Ability to work with a diverse group of people
  • Must be able work independently and adapt to changes


  • AAS in Accounting or similar field required
  • BSc/BA in Accounting preferred or equivalent work experience
  • 3+ years related accounting experience in an engineering or technical services firm preferred
  • Salary commensurate with experience


This position has no immediate supervisory responsibilities.


This job operates primarily in a professional office environment. This role requires frequent and prolonged use of standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. While performing the duties of this job, the employee occasionally works outside the office and may be exposed to outside weather conditions. This position may include occasional lifting up to 50 pounds.


This position may risk exposure to bright/dim light, noise, fumes, odors, and traffic.


This is a full-time position. The typical work days and hours of work are Monday through Friday, 9:00 AM to 5:00 PM. Some night and weekend work may be required.


Travel is primarily local during the business day, although some out-of-the-area and overnight travel may be required according to the needs of the business.
